When a Patient Arrives at the Clinic

A step-by-step guide for managing an appointment from start to finish.

This document outlines the workflow for managing an appointment from start to finish. Follow the steps below to ensure a smooth and efficient appointment process.

Step 1: Confirm Arrival

  1. Mark Patient as Arrived:

    • Navigate to the appointment section.

    • Click on the appointment and select the “Patient Arrived” button.

    • The appointment icon will update to reflect the patient's arrival.

Step 2: Chart Note Creation

  • A chart note is automatically created and attached to the appointment once the patient is marked as arrived.

  • If the appointment type includes an automatic invoice, it will also be generated.

Step 3: Access Patient Profile

  1. View Chart Note:

    • Click on the patient’s name to access their profile.

    • The chart note appears with a “Draft” status.

    • When finished with your notes, select “Complete.”


  2. Manage Invoice

    • Navigate to the Patient Billing section.

    • Review the automatically created invoice.

    • Update the status to "Ready to Bill."

Step 4: Complete the Appointment

  • You can complete the appointment either from the patient header or by updating the appointment status in the scheduler.

  • Ensure the checkboxes for the Chart Notes and Invoice are selected, indicating completion.

Step 5: Conversion Screen (Sales Opportunity Appointments)

  1. Conversion Details:

    • Indicate whether a hearing test was performed.

    • Mark the appointment as Converted, Not Converted, or Excluded.

    • Provide a reason and any additional notes.

Step 6: Additional Details

  • Add patient tags as needed.

  • Review the appointment checklist.

  • Mark if a companion attended.

Finalize Appointment

  • Ensure all information is complete.

  • Click “Confirm” to finalize the appointment.

  • The icon will update to a checkmark, indicating the appointment is completed.
