Creating Appointments for Existing Patients

Learn how to create appointments for patients already in your system

This documentation provides detailed instructions on how to schedule appointments for existing patients, including creating appointments outside of a provider's working hours.

Creating an Appointment

Method 1: Using the “New Appointment” Button

  1. Click the "New Appointment" button.

  2. Update the start time manually.

  3. Complete the appointment scheduling prompts in the modal window, ensuring all required fields (marked with an asterisk) are filled out.

  4. The first field is where you will search for the patient by name.
    ‼️ Note: If the patient is not in your system yet, you can still add them here by selecting either the Quick Add button or choosing the Add option when searching for their name:

  5. Review the overview of available appointment slots for the week to assist in selecting an appropriate time.

  6. Add or remove providers from the list as necessary.

  7. Click "Save" to finalize the appointment, which will then appear in the scheduler.

Method 2: Using the Calendar View

  1. Hover over a 30-minute time block in the calendar view.

  2. The block will darken, indicating it can be selected.

  3. Proceed with the same steps as in Method 1 to complete the appointment scheduling.

Scheduling Appointments Outside Provider's Working Hours

  1. Identify grayed-out time slots that are outside of the provider's schedule.

  2. Select a grayed-out time slot.

  3. Complete the scheduling prompts as usual.

  4. Note the warning indicating the appointment is outside of the working hours.

  5. To override this, select the checkbox allowing the creation of appointments outside working hours.

  6. Proceed to save the appointment.

  7. The appointment will now appear in the schedule, marked as outside working hours.
