Using the Scheduling Module

Welcome to the scheduling module guide. This document will help you navigate through the scheduling features of our platform, ensuring you make the most out of your calendar management.

Main Features

Calendar View

Upon accessing the scheduling module, the primary feature presented is the calendar view. The calendar layout is intuitive, resembling other calendar software for familiarity and ease of use.

Filters Overview

At the top of the calendar, you will find filters that help you refine your view of appointments (screenshot for reference below). These filters include:

  1. All Appointments: View every appointment on your calendar.

  2. Unconfirmed Appointments for the Week: Focus on appointments that are pending confirmation.

  3. Opportunity Appointments: This will be elaborated further in another guide.

  4. Incomplete and Cancelled/Rescheduled Appointments: Display current incomplete, cancelled, or rescheduled bookings.

Viewing Options

  • Daily, Weekly, and Work Week Views: Toggle between these views according to your needs.

  • Quick Date Selection: Utilize the mini calendar on the left to quickly navigate to past or upcoming dates.

  • Month Navigation: Click the arrow next to the current month and year to swiftly jump to any desired month. Use the arrows to the left and right to move between consecutive months.

Scheduling Flexibility

  • Navigate Between Periods: Use the arrows above the scheduling view to move between past and future periods, whether in daily or weekly modes.

  • Provider Availability: When multiple providers are selected, each provider is displayed in color-coded columns, showing their availability and current schedules. Hover over a time block to see it highlighted, indicating selection readiness.

Filters and Selection Options

Clinic and Staff Filter

  • Clinic View: Filter schedules by clinic, selecting multiple clinics simultaneously if needed. Use the "Show By Clinic" option for a more detailed view per physician and clinic.

    • ‼️In some cases the Clinic View will be limited to just the "selected Clinic" and will just show the providers' schedules by Default‼️

  • Staff Member View: Filter by specific staff members. You can:

    • Select multiple staff members.

    • Temporarily narrow down to a single member using the "Only" button, with the option to reselection everyone using "All."

    • Use checkboxes to include or exclude providers manually.

Appointment Types

By default, all appointment types are selected. To filter by specific types, open the appointment types menu and choose accordingly.
