Data migration: migrating from CounselEAR

A full breakdown of what Suno migrates from CounselEAR, what is not included, and how to prepare before your go-live date.

Migrating from CounselEAR moves your patient records, appointments, financial history, and clinical documentation into Suno before your go-live date. This guide covers exactly what is and is not migrated, and what you need to do to prepare.


What we migrate

Staff

  • Names, email addresses, roles, titles, NPI numbers, and license numbers

  • Provider type mapped to the equivalent Suno permission group

Patients

  • Demographics — name, date of birth, preferred name, sex, title, suffix

  • Contact information — up to three phone numbers, up to three email addresses, and primary address

  • Patient status (Active, Inactive, Prospect)

  • Marital status, employment status, employer, and employee ID

  • HIPAA notice signed date

  • Preferred provider and preferred clinic

  • Referring physician and primary care physician

  • Referral source and sub-referral source

  • Language, ethnicity, and race

  • Do-not-call, do-not-text, and do-not-email flags per contact method

  • Patient tags, patient alerts (migrated as notes), patient photos, and patient documents

Appointments

  • Date, time, duration, clinic, assigned staff, and appointment type

  • Appointment status, companion details, referral source, and notes

  • Schedule blocks (closed, lunch, out-of-office), if requested

Dispensed devices

  • Device type, model, manufacturer, style, technology, serial number, ear, and color

  • Purchase date, fitting date, warranty dates, and battery club enrollment

Clinic inventory

  • Loaner devices and clinic stock (demonstration and retail inventory)

Financial records

  • Invoices — date, clinic, provider, status, and totals

  • Line items — products and services, including discounts, adjustments, and write-offs

  • Payments — date, method, amount, and card details

  • Refunds and insurance adjustments

Note: If your practice uses QuickBooks, financial migration data will need to be synced to QuickBooks separately after go-live. Your onboarding specialist will coordinate this.

Clinical documentation

  • Chart notes — including audiogram results (PTA, SII, severity, configuration), history, results, recommendations, and clinician notes

  • Patient notes with original creation date and author

Insurance and authorizations

  • Insurance policies — insurer, member ID, group number, plan name, employer, copay, deductible, coverage dates, and status

  • Insurance policy card images (front and back), where available

  • Visit trackers and authorizations — authorization number, dates, and allowed and remaining visits

Administrative data

  • Referring physicians, referral sources, appointment types, and patient tasks


What we do not migrate

  • Staff passwords — every staff member will have a new account setup in Suno

  • System configuration — workflow settings, custom form layouts, and report templates

  • Email and communication history — appointment reminders and marketing campaigns

  • Audiogram image files — scanned audiograms and external audiogram PDFs; audiogram results captured in chart notes are migrated as text

  • Insurance claim submission history — ERA/EOB files and clearinghouse records

  • Custom report definitions

  • Deleted records — records removed from CounselEAR before your export date

  • Hearing aid programming data — fitting software files (e.g., Noah files)

  • Third-party integration settings — these must be configured in Suno after go-live


Before you begin

  1. Export your data from CounselEAR — your onboarding specialist will guide you through this.

  2. Confirm staff email addresses are current — these are used to create Suno accounts.

  3. Confirm clinic names — if your CounselEAR clinic names differ from what is set up in Suno, let your specialist know in advance.

  4. Prepare patient documents — if you have files stored in Box or a local folder, confirm with your specialist how these will be transferred.

  5. Notify your team — staff will receive a Suno invite to set up their account; passwords do not transfer.
