Zoom Telehealth Integration

Learn how to set up your Zoom Telehealth integration and appointments

Connect your practice's Zoom account to Suno so your team can schedule and launch virtual appointments directly from the platform.


Prerequisites

Before you begin, confirm the following:

  • Zoom account: You need an active Zoom account that can host meetings.

  • Only one Zoom account can be connected per practice.

  • The user must have admin or owner-level access in Suno to access Settings.


Connect Your Zoom Account

  1. In the left sidebar, click Settings.

  2. Click Zoom Telehealth.

  3. On the Zoom Telehealth page, find the Connection card.

  4. Click Connect Zoom.

  5. Suno redirects you to the Zoom authorization page. Sign in to your Zoom account if prompted.

  6. Review the requested permissions and click Allow.

  7. Zoom redirects you back to Suno. You will see a green notification: "Zoom connected successfully."

  8. The Connection card now displays Connected along with the email address of the linked Zoom account.

Important: Only one Zoom account can be connected per practice. If another staff member connects a different Zoom account later, it replaces the previous connection.


Set Up a Virtual Appointment Type

After connecting Zoom, you can mark appointment types as virtual so they automatically generate Zoom meeting links.

  1. In the left sidebar, click Settings.

  2. Click Appointment Types.

  3. Select the appointment type you want to make virtual, or create a new one.

  4. Scroll to the Telehealth section.

  5. Turn on the Virtual / Telehealth Appointment toggle.

  6. Click Save.

When you enable this toggle, Suno may prompt you to reset your notification templates to include telehealth join links. Click Reset to use the default telehealth templates, or click Cancel to keep your current templates and add the links manually later.

Note: The Telehealth toggle only appears when Zoom is connected. If Zoom is disconnected and the appointment type is already virtual, the toggle is visible but disabled. You will see the message: "Reconnect Zoom to change this setting."


Notification Templates for Telehealth

Suno automatically includes telehealth-specific merge tags in your notification templates so patients receive their Zoom join link.

  • {telehealth_join_url} inserts the Zoom meeting join link.

  • {telehealth_test_url} inserts a link to Zoom's audio/video test page (https://zoom.us/test).

These tags are populated only for virtual appointment types that have a Zoom meeting link. For non-virtual appointments, the tags resolve to empty text.

Check and Fix Missing Join Links

If a virtual appointment type's notification templates do not include the join link, Suno displays a warning:

"This template is used for telehealth appointments but doesn't include a telehealth join link. Patients won't receive a link to join their virtual visit."

You have two options:

  • Click Insert Zoom Links to add the telehealth link snippets to your existing template content.

  • Click Reset to Default to replace the template with Suno's default telehealth template. This action cannot be undone.

To reset all notification templates for that appointment type at once, click Reset All to Telehealth Defaults at the top of the templates section.


Schedule and Join Virtual Appointments

How Zoom Meetings Are Created

When you book an appointment using a virtual appointment type, Suno automatically creates a Zoom meeting in the background. The meeting link typically appears within a few seconds.

Suno also keeps the Zoom meeting in sync when you make changes:

  • Reschedule: The Zoom meeting time updates automatically.

  • Cancel: The Zoom meeting is deleted from Zoom.

  • Delete: The Zoom meeting is deleted from Zoom.

Join a Zoom Meeting

In the appointment view (patient chart or scheduler preview), look for the camera icon next to virtual appointments:

  • Join Zoom Meeting (solid camera icon): Click to open the Zoom meeting in a new browser tab.

  • Generate Zoom Link (outlined camera icon): Click to manually trigger Zoom link creation if the link is missing.

  • Generating Zoom link... (spinning indicator): The link is being created. Wait a few seconds for it to appear.

How Patients Receive Their Join Link

Patients receive the Zoom join link through appointment notification messages (SMS and email). The link is included automatically when your notification templates contain the {telehealth_join_url} merge tag.

For appointment confirmation and reschedule notifications, Suno waits briefly for the Zoom link to become available before sending. If the link is not ready after about one minute, the notification sends without it. In that case, you can generate the link manually and share it with the patient.


Reconnect Zoom

If your Zoom connection needs to be refreshed (for example, after changing your Zoom password), you can reconnect without losing your configuration.

  1. Go to Settings > Zoom Telehealth.

  2. Click Reconnect.

  3. Complete the Zoom authorization flow.

Reconnecting links the same (or a different) Zoom account. Your virtual appointment type settings remain unchanged.


Disconnect Zoom

  1. Go to Settings > Zoom Telehealth.

  2. Click Disconnect.

  3. In the confirmation dialog, click Disconnect to confirm.

What Happens When You Disconnect

  • New virtual appointments will no longer generate Zoom meeting links.

  • Existing Zoom meeting links that were already created remain active in Zoom. Those links may still work until the meeting's scheduled time passes or until the meeting is manually deleted in Zoom.

  • Changes to existing virtual appointments (reschedule, cancel) will not sync to Zoom while disconnected.

  • Virtual appointment types remain marked as virtual, but the toggle is locked until you reconnect.

Zoom can also disconnect your practice automatically if someone revokes the Suno app from Zoom's account settings. The effect is the same as a manual disconnect.


Troubleshooting

"Zoom authorization failed. Please try connecting again."

This error appears when the OAuth authorization does not complete successfully.

Resolution:

  1. Go to Settings > Zoom Telehealth and click Connect Zoom (or Reconnect) again.

  2. Make sure you complete the authorization within five minutes. The authorization link expires after that.

  3. If the problem persists, clear your browser cache, try a different browser, or contact Suno support.

Zoom meeting link is not appearing on a virtual appointment

The Zoom link is created asynchronously and may take a few seconds to appear.

Resolution:

  1. Wait 10 to 15 seconds, then refresh the appointment view.

  2. If the link still does not appear, click the outlined camera icon (Generate Zoom Link) on the appointment to trigger link creation manually.

  3. If the link still does not appear after about 30 seconds, go to Settings > Zoom Telehealth and verify that the connection status shows Connected. If it shows Not connected, reconnect Zoom and try again.

The "Virtual / Telehealth Appointment" toggle is missing or disabled

The toggle only appears when the Zoom Telehealth feature is enabled and Zoom is connected.

Resolution:

  1. Confirm that your practice has the Zoom Telehealth feature activated. If you do not see Zoom Telehealth in Settings, contact Suno support.

  2. Go to Settings > Zoom Telehealth and verify that Zoom shows Connected.

  3. If Zoom is disconnected and the appointment type is already virtual, the toggle is visible but disabled. Reconnect Zoom to make changes.
