How to add new items to the Master Catalog when there isn't a match in the Product list

Adding a new service to the Master Catalog

Follow the steps below to add a new Product/Service to the Master Catalog, allowing you to add new products/services to your primary Catalog.

  1. Open the Catalog

    • Go to Inventory > Catalog.

    • Click the + New Product / Service button in the top-right corner.

  2. Select Type and Sub Type

    • In the new item screen, choose the Type of item you want to add.

    • For this example, select Service, then choose Sub Type "Other."

    • The options and fields you see later will depend on the Type and Sub Type selected.​

  3. Search for an existing Product/Service

    • In the Product field, start typing the name of the product or service you want to add (ex. enter Interest to represent interest paid on an invoice).

    • Review the list of matches that appears beneath the field and confirm whether any existing items meet your needs.

  4. Use “Add as New Master Product” when no match exists

    • If none of the suggested products/services accurately match what you are trying to create, click Add as New Master Product at the bottom of the list.

      • Note: This option is always available, even if there are one or more close matches, and is used to add a brand new item to the Master Catalog.​

  5. Complete the New Product Quick Add modal

    • After selecting Add as New Master Product, the New Product Quick Add modal window will appear.

    • Fill in the fields for the new product or service.

      • Note: Fields marked with an asterisk (*) are required. The fields shown will vary based on the selected Type and Sub Type.

    • In many cases (such as the Interest service in this example), the fields may already be populated correctly; review them and make any necessary adjustments.

    • When finished, click Save to add the new Product/Service to the Master Catalog.

  6. Use the new Product/Service in your Catalog

    • After saving, the newly created Master Product/Service becomes available for selection in the Product field.

    • Continue adding the item to your Catalog entry and use it on invoices or other workflows as you normally would.​
