Creating and Applying Credits

Learn how to create and apply credits to patient profiles.

This guide details the steps to add credits to a patient’s profile for use with future invoices. This feature is beneficial for processing refunds for patients who continue purchasing through your office or when you wish to provide free credits to your patients.

Methods to Add Credits

There are two primary methods to add credits to a patient’s account:

  1. Through a Refund

  2. Using the + New Credit Button (not attached to a particular invoice)

1. Adding Credits Through a Refund

This is the most common use case. Follow these steps:

  • Locate the Invoice: Find the invoice that requires a refund.

  • Initiate Refund: Click the three dots to the right of the invoice and select Issue Refund.

  • Fill Refund Details: Complete the refund information as usual.

  • Issue as Credit: Check the Issue as credit checkbox. The Method will automatically update to Patient Credit.

  • Enter Credit Amount: Input the desired credit amount (e.g., $50).

  • Save Refund: Click Save Refund. This applies the refund to the invoice and returns you to the invoicing screen.

Viewing Available Credits

After issuing the credit:

  • Navigate to the Credits Available section to view the newly created credit.

  • Review all applied credits and the remaining balance.

2. Posting a Credit Without a Refund

To add credits not linked to a refund:

  • Access Patient Billing Screen: Click + New Credit.

  • Complete Required Fields:

    • Date of Credit Payment

    • Credit Payment By

    • Credit Payment Amount

    • Credit Payment Method

  • Optional Fields: Add a payment reference and description for tracking purposes.

  • Post Credit: Click Post Credit to apply the credit to the patient’s account.

Applying Credits to an Invoice

Once credits are available:

  • Select Invoice: Click the three dots next to the invoice and choose Patient Payment.

  • Choose Payment Method: Set the Payment Method to Patient Credit. You'll notice that the Available Credits are displayed towards the top of the form.

  • Select Credit: Choose the credit from the Selected Credit field.

  • Post Payment: Click Post Payment.

After applying the credit, the patient’s available credit balance will update to reflect the applied amount.
